Please read these Terms and Conditions carefully before committing to any service, subscription, or appointment with Cumbria Clinical Exercise ("the Practice").
By booking a session, subscribing to a monthly package, or completing a client onboarding form, you agree to be bound by the following terms:
Scope of Practice & Emergency Medical Disclaimer
Clinical Exercise Scope: The Practice provides specialised clinical exercise instruction, rehabilitation, and lifestyle support. Services provided do not constitute medical emergency treatment, diagnostic medical consultations, or primary medical care.
Medical Emergencies: The Practice does not offer a 24/7 acute care service. If you experience sudden chest pain, severe breathlessness, dizziness, or any acute deterioration of health, you must immediately call NHS 111 or 999, or attend your nearest Accident & Emergency department.
Assessment, Client Obligations & Medical Clearance
Initial Assessment & Reviews: All new clients must undergo a comprehensive initial clinical assessment. Changes to your health status, medical conditions, and prescribed medications will be systematically reviewed at the start of every session during the check-in.
Health Declarations: You agree to promptly disclose any new medical diagnoses, investigations, or adjustments to your treatment plan during these regular reviews.
Medical Clearance: The Practice reserves the right to request written clearance from your General Practitioner (GP) or relevant NHS consultant before starting or continuing exercise programming.
Bookings, Payments & Monthly Retainers
Payment Terms: All initial assessments (£80) and monthly retainer fees (£90 / £160 / £280 per month) are processed securely via Stripe. Payments must be cleared prior to session commencement or on the specified monthly renewal date.
Subscription Billing: Monthly subscriptions are auto-renewing. Subscriptions can be cancelled at any time with 14 days' written notice prior to the next billing date. Payments already processed for the active billing cycle are non-refundable.
Subscription Allowances and Unused Sessions: Monthly subscriptions include a set allowance of in-person sessions / reviews per billing cycle. Unused, cancelled, or missed sessions cannot be rolled over into subsequent months, banked, or redeemed for cash / credits.
24-Hour Cancellation Policy
Notice Required: If you need to cancel or reschedule an appointment, you must provide at least 24 hours' notice.
Late Cancellations & No-Shows: Cancellations made with less than 24 hours' notice, or failure to attend a scheduled session, will result in full forfeiture of the session fee (or deduction of the slot from your monthly allowance). No refunds or complimentary re-bookings will be issued for late cancellations.
Mid-Week Communication & Out-of-Hours Boundaries
In-Person Clinical Hours: Face-to-face appointments and clinical assessments take place on Mondays between 08:00 and 17:00.
Mid-Week Support: Client messaging and administrative support remain active Tuesday through Friday between 09:00 and 17:00.
Please note that mid-week communication is managed alongside NHS clinical commitments, so responses will be addressed periodically throughout the day as clinician availability allows.
Clinic Closures and Planned Absences
Cumbria Clinical Exercise closes during planned annual leave throughout the year. Advance notification of upcoming planned clinic closures will be provided via email and during clinical reviews.
Monthly Subscriptions & Planned Closures: Our monthly subscription fee is fixed and already accounts for planned clinic closures. Subscriptions will not be paused, reduced or refunded when the clinic is closed.
In-person appointments and weekly reviews pause during closures and resume when we reopen. Missed reviews during closure periods do not roll over to future weeks.
During closure periods, incoming messages, emails, and voicemails will not be monitored in real time. All non-urgent inquiries will be reviewed and responded to during normal administrative hours upon the clinic reopening.
If you experience an urgent health concern while the clinic is closed, please contact your GP or call NHS 111 or 999.
7. Data Protection & Privacy
Personal, health, and clinical data collected by the Practice are handled strictly in accordance with UK Data Protection Regulations (UK GDPR) and registered with the Information Commissioner's Office (ICO). Clinical records are securely maintained within Cliniko.
